HOSPITALITY BUSINESSES NOW NEED TO RECORD CONTACT DETAILS FOR TRACK AND TRACE
NOTE: Recording Details- If you decide to include a question asking people if they have been in contact with Covid-19, some people in occupations such as paramedics, nurses and doctors may declare yes. However, it is most likely they will have been wearing PPE and are not a risk. If deemed necessary and you need further reassurance, you could ask if they should be self-isolating. It is important that we support our frontline workers and that they are able to relax and socialise, we recommend that they are not refused admission unless they declare they should be self-isolating.
The Department for the Economy (DfE) has published guidance on maintaining records of staff, customers and visitors in the hospitality industry to help support coronavirus contact tracing efforts in Northern Ireland.
The guidance sets out key actions and information around the collection of staff, customer and visitor data, including:
- an outline of the Contact Tracing Service
- the purpose of maintaining records
- sectors that this guidance applies to
- what information to collect
- impact of guidance on children and young people
- what to do if someone does not wish to share their details, or provides incorrect information
- how records should be maintained
- considerations around General Data Protection Regulation (GDPR)
- registration with the Information Commissioner’s Office (ICO)
- when information should be shared with NI Contact Tracing Service
- how the service will take steps to minimise transmission

EASILY MANAGE YOUR COVID-19 TRACK AND TRACE REQUIREMENTS WITH COVID VENUE APP
With the reopening of businesses in Northern Ireland following the COVID-19 outbreak being supported by the Contact Tracing Service (part of the Test, Trace, Protect Strategy approved by the NI Executive), Hospitality Ulster has partnered with COVID VENUE APP to provide you with a simple and secure solution to all of your track and trace requirements
WHAT:
COVID VENUE APP is a simple mobile application for business use that quickly and securely satisfies all COVID-19 ‘track and trace’ requirements.
The app enables you to have any visitor registered to your venue in under 30 seconds, verifying a customer’s attendance within the app and providing full traceability information should it be required.
All data collected by the app is held centrally by the service provider and encrypted, covering all GDPR regulations, with records being automatically deleted after 28 days (or a period specified by a governing body) if not required.
In the event of an incident where records from your business are required, a user simply informs the app provider who will communicate directly with track and trace authorities on your behalf.
COVID VENUE APP removes the requirement for businesses to keep hard copy records, or the need to trawl social media sites and email accounts to compile a list of those who have visited your premises in the event of an incident.
Furthermore, it removes the need for businesses to communicate directly with track and trace authorities.
The app comes branded with your business logo as-standard, can feature your food and drinks menus for customer use, and can be up and running within 24 hours of sign-up, with a pack of hard copy materials following shortly afterwards.
HOW:
The COVID VENUE APP user journey is very simple.
- When a customer arrives at your venue using COVID VENUE APP, visible stickers at the point of entry (provided after registration) will invite them to scan a QR Code unique to your venue with their smart phone, or visit the simple registration web address ‘hu.oqlist.co.uk’
- The QR Code or web address will open a simple Registration Portal, where the customer types in the name of your venue.
- The registration portal will invite the customer to then type their full name, phone number and email address. The portal will also automatically record the date of attendance.
- Upon clicking ‘Register’, the customer will see a green tick indicating that their registration is complete. The system also offers the chance for the customer to view food and drinks menus for your venue.
- The app works on any device connected to the internet and does not require a download from any type of app store. For customers who do not have a smart phone, it may be beneficial to consider providing a tablet for public use at the point of entry.
